AI Tools for Small Business: What Actually Earns Its Keep

Most AI tools for small business get opened twice and forgotten. Here is how to pick the two or three that actually save you hours every week.

So a guy asked me last month which AI tools he should be using in his business. He'd already signed up for nine of them. Opened maybe four. Two months in he was paying for subscriptions he'd forgotten existed, and literally nothing about his business had changed.

That's the normal story with AI tools for small business, right? The tool list isn't the problem. The order is.

Short version: the ones worth paying for are the ones that do a job you're already doing badly or slowly. Answering a lead the minute they reach out. Writing in your actual voice instead of beige corporate mush. The follow-up you keep meaning to send and never send. If a tool doesn't map to a job that's already costing you money, you're just paying for a demo.

Start with the job, not the tool

Most people shop backwards. They see a cool AI thing, then go looking for a reason to use it. That's dumb. Stop it.

Flip it around. Write down the three things in your week that either cost you a customer or eat your evening. Not "marketing." Specific. "Leads that come in after 6pm sit until morning." "I rewrite the same estimate email nine times a week." "I never get around to following up on the quotes I sent."

Two questions before you pay for anything

First one: does this work without me babysitting it? A tool that needs twenty minutes of my attention to save me fifteen is not saving me anything. That's just a hobby with a monthly fee.

Second one: does it sound like me? People skip this constantly and it's the one that quietly costs you trust. If your AI writes like a press release, your customers feel it in about two sentences.
